Legal Intake Manager

We are hiring on behalf of our law firm client for an experienced and results-driven Legal Intake Manager. This role involves overseeing the entire intake process for legal cases, ensuring smooth case management, and delivering exceptional client service. The ideal candidate will have a strong background in personal injury law, leadership experience, and a proven ability to manage intake operations effectively.
Key Responsibilities:
- Oversee the intake process and manage the full lifecycle of legal cases.
- Set up and maintain phone platforms, including ring groups, call forwarding, reporting, and optimal coverage.
- Implement and manage auto-dialer systems for missed calls, follow-up calls, and form fills.
- Conduct quality assurance reviews, including listening to and evaluating calls.
- Provide coaching and mentorship to team members, focusing on upselling, confidence building, and closing techniques.
- Ensure adherence to key performance indicators (KPIs) and track team performance.
- Manage CRM platforms such as Salesforce, HubSpot, or Lead Docket.
- Coordinate with offshore teams and maintain high operational standards.
Qualifications:
- Minimum of 3+ years of experience as an Intake Specialist or in a similar role.
- Proven leadership experience with the ability to train and mentor junior team members.
- Strong knowledge of personal injury law and legal procedures.
- Experience with medical records and legal documentation.
- Knowledge of phone systems and related tools, including reporting and call management.
- Proficiency in CRM platforms such as Salesforce, HubSpot, or Lead Docket.
- Experience managing to KPIs and ensuring operational efficiency.
- Spanish-speaking skills are a plus but not required.
